Privacy Policy

This Privacy Policy explains how Five Global collects, uses, stores, and protects personal information.

Five Global FZE LLC, registered and licensed under the Ajman NuVentures Centre Free Zone (ANCFZ), United Arab Emirates (referred to in this Privacy Policy as "Five Global," "we," "us," or "our"), respects the privacy of every individual and organisation that interacts with us and is committed to protecting the personal information entrusted to us. This Privacy Policy sets out, in detail, how we collect, use, disclose, store, transfer, and otherwise process personal information when you visit our website, contact us through any channel, use our recruitment, consulting, or workforce solutions services, or otherwise communicate with us as a candidate, jobseeker, employer, client, vendor, business partner, or general visitor. By accessing our website, submitting an enquiry, applying for a role, or otherwise engaging with our services, you acknowledge that you have read and understood this Privacy Policy and consent to the collection and use of information as described herein, to the extent permitted by applicable law.

This Privacy Policy applies to all personal and business information collected by Five Global through any medium, including but not limited to our website, email correspondence, telephone calls, WhatsApp Business communications, in-person meetings, recruitment fairs, job portals, third party referral sources, printed application forms, and any other channel through which information is submitted to us or collected by us in the course of providing recruitment, sourcing, mobilisation, consulting, or related workforce services. This policy is intended to be read together with any additional terms, engagement letters, service agreements, or candidate consent forms that may apply to a specific relationship, and where there is any direct conflict between this policy and a signed agreement, the terms of that specific agreement shall prevail to the extent of the conflict.

We may collect personal and business information that is voluntarily provided to us directly, information that is generated through the course of our dealings with you, and information that is received from third parties on your behalf. This may include, without limitation, full name, date of birth, nationality, passport and identification details, contact details such as telephone number, email address and residential address, photographs, curriculum vitae, educational qualifications, professional certifications, employment history, references, salary expectations, visa and work permit status, medical fitness information where required for mobilisation purposes, banking details where required for payroll or reimbursement coordination, company details, job descriptions, hiring requirements, organisational structure information, and any other information that is relevant to our recruitment, sourcing, consulting, and career guidance services. Where documents such as passports, certificates, or medical reports are submitted to us, we treat these as sensitive documents and apply additional internal handling precautions appropriate to their nature.

We may also receive information through enquiries submitted via our website contact and requirement forms, applications submitted in response to advertised vacancies, email correspondence, telephone calls, WhatsApp Business messages, face to face or virtual meetings, recruitment agencies or sub agents that we work with in sourcing countries, government or regulatory bodies where required for compliance purposes, and other communication channels used to interact with Five Global. Where information is provided to us by a third party, such as a recruitment partner, referee, or family member acting on behalf of a candidate, we rely on that third party to have obtained the necessary consent or authority to share such information with us, and we encourage all such parties to inform the individual concerned that their information has been shared with us.

We use personal information for the purposes of providing recruitment consulting, candidate sourcing, workforce mobilisation, career guidance, and related services to both candidates and client organisations. This may include understanding an individual's career goals and professional background, matching candidates to suitable opportunities, understanding and documenting client staffing requirements, communicating with candidates and companies throughout the hiring lifecycle, coordinating interviews, trade tests, medical examinations and visa processing, arranging travel and mobilisation logistics, and supporting ongoing communication between candidates and employers both before and after deployment. Information may also be used to respond to general enquiries, maintain internal business and financial records, improve the quality, accuracy, and relevance of our services and our website, detect and prevent fraud, misuse, or unauthorised activity, and comply with applicable legal, immigration, labour, and regulatory requirements in the United Arab Emirates and in relevant sourcing countries.

Where required, we may rely on your consent, the necessity of processing for the performance of a contract or in order to take steps at your request prior to entering into a contract, our legitimate business interests in operating and improving our recruitment services, or compliance with a legal or regulatory obligation, as the basis for processing your personal information. Where we rely on consent, you have the right to withdraw that consent at any time, without affecting the lawfulness of processing carried out before such withdrawal, although withdrawal of consent may affect our ability to continue providing certain services to you, such as identifying suitable employment opportunities on your behalf.

Candidates and jobseekers who engage with Five Global may provide information about their education, qualifications, licences, skills, employment history, professional experience, career interests, preferred locations, salary expectations, availability, and other professional details relevant to prospective employment. We use this information to build and maintain a profile of the candidate's background and, where appropriate, to identify, shortlist, and communicate relevant career opportunities. We may retain a candidate's profile on file, even where no immediate opportunity is identified, so that it may be considered for future vacancies that may be suitable, unless the candidate requests otherwise in accordance with the rights described later in this policy.

Where a candidate is being considered for a specific vacancy or opportunity, relevant information from that candidate's profile, including curriculum vitae, qualifications, experience, references, and, where applicable, identification or medical fitness documentation, may be shared with the prospective employer for the purposes of recruitment, screening, interview coordination, and final selection. We aim to share only information that is relevant and reasonably necessary for the specific opportunity under consideration, and we expect prospective employers who receive such information to handle it responsibly and in accordance with applicable law.

Companies, employers, and other business contacts who engage with Five Global may provide information such as company registration and licensing details, authorised contact persons, job descriptions, role requirements, salary bands, staffing volumes, project timelines, site locations, and other details required for us to understand and fulfil a recruitment or workforce mobilisation requirement. This information is used to understand business and staffing requirements in detail, identify and propose suitable candidates, provide consulting and advisory support relating to workforce planning and market conditions, and maintain ongoing communication and account management with clients and business partners throughout and after the recruitment process.

We may share relevant personal and business information with third parties where necessary to provide our services or where we are otherwise permitted or required to do so. This may include sharing candidate information with prospective employers as described above, sharing information with government authorities, embassies, or regulatory bodies for the purposes of visa processing, work permits, medical testing, or other compliance requirements, and sharing information with trusted service providers who support our business operations, such as information technology providers, website hosting providers, travel and logistics coordinators, and professional advisers. We do not sell, rent, or trade personal information to third parties for advertising, marketing, or other unrelated commercial purposes. Information is disclosed only where there is a legitimate business, recruitment, operational, legal, or regulatory reason to do so, and, where practicable, we seek to ensure that third parties who receive information from us are bound by appropriate confidentiality and data protection obligations.

We may transfer or store personal information outside of the United Arab Emirates where necessary for the performance of our services, including transfers to sourcing countries such as Nepal, India, Sri Lanka, and other markets in which we operate or with which we work, and transfers to service providers whose servers or operations may be located outside the UAE. Where such transfers take place, we take reasonable steps to ensure that the information continues to be protected in a manner consistent with this Privacy Policy and applicable law, including, where appropriate, the use of contractual safeguards with recipients of the information.

We may contact you by email, telephone, WhatsApp Business, or other appropriate communication channels regarding enquiries you have submitted, recruitment opportunities that may be of interest, career discussions and guidance, consultations relating to staffing requirements, interview and mobilisation coordination, business development matters, or other matters reasonably connected with our services. Where our communications include any element of direct marketing, you may opt out of receiving such communications at any time by contacting us using the details provided at the end of this Privacy Policy, and we will process such requests without affecting our ability to continue essential service related communications, such as those necessary to progress an active application or engagement.

We take reasonable administrative, technical, and physical measures designed to protect personal information from unauthorised access, loss, misuse, alteration, or disclosure. Access to personal information within our organisation is limited to employees, contractors, and service providers who reasonably require such access to perform their duties in connection with our recruitment and business operations, and such personnel are expected to treat all candidate and client information as confidential. Physical documents containing sensitive information are stored securely, and electronic records are maintained on systems with access controls appropriate to the sensitivity of the information involved. While we take appropriate and reasonable steps to protect information, no electronic storage system, transmission method, or physical security measure can be guaranteed to be completely secure, and we cannot guarantee the absolute security of information transmitted to us over the internet or other communication networks.

We retain personal and business information only for as long as is reasonably necessary to fulfil the purposes for which it was collected, including the ongoing consideration of a candidate for employment opportunities, the maintenance of business records for client relationships, compliance with legal, tax, immigration, and regulatory retention requirements, and the establishment, exercise, or defence of legal claims where applicable. Retention periods may vary depending on the nature of the information and the purpose for which it is held. When information is no longer reasonably required for these purposes, we take steps to delete, anonymise, or securely dispose of it in accordance with our internal data retention practices and applicable legal requirements.

Our website and business operations may make use of third party services for purposes including communication, website hosting, analytics, cloud storage, scheduling, payment coordination where applicable, and other business functions necessary to operate effectively. Where such third party services process personal information on our behalf or in connection with our website, the handling of that information may also be subject to the privacy policies and terms of the relevant third party provider, and we encourage you to review those policies where you interact directly with such services. We select service providers with reasonable care and, where appropriate, seek contractual assurances regarding their handling of personal information.

Subject to applicable law, you may have certain rights in respect of the personal information we hold about you, including the right to request access to the personal information we hold, the right to request correction or updating of inaccurate or incomplete information, the right to request deletion of information that is no longer necessary for the purposes for which it was collected, the right to object to or restrict certain forms of processing, and the right to withdraw consent where processing is based on consent.
